Dear supplier,
The HSE recommends to the supplier to contact the purchase order requestor to initiate a purchase order (PO) change request if additional shipping charges are proposed as they can be added directly onto the PO ahead of the order being processed (the PO requestor contact email address can be found on the Purchase Order).
If the PO has already been processed, you have the possibility to add shipping charges to your electronic invoice when submitting it on SAP Ariba. To create your invoice, access your purchase order via your email notification or you may also login to your SAP Ariba supplier portal directly: https://supplier.ariba.com
  1. Click on Workbench > Orders.
  2. Click on the Purchase Order number (PO) you want to invoice.
  3. Click on Create Invoice > Standard Invoice
  4. In the invoice screen header page, click on the Add to header drop down menu on the top right of your invoice.
  5. Select Add Shipping Cost. This will add a Shipping cost section on your invoice where you are able to add your shipping cost amount.
  6. Select Add Shipping Tax. This will add a Shipping tax section on your invoice where you are able to add your shipping tax amount. Make sure to select VAT in the tax category drop down menu.
  7. After filling all the mandatory fields on the page, click on Next and your Shipping Cost and related tax will be included.
Note that unplanned shipping charges may delay invoicing reconciliation. Best practice is to contact the purchase order requestor to initiate a PO change request prior to processing the purchase order.
